Tops 9.7.0 is coming your way!

We have a new fall update to Tops coming your way!


TopsPay got a quick tune-up. Here are the deets:

  • You can now void TopsPay Credit/Debit Card Transactions.  
    *NOTE: voids are only available on the same date as the transaction.
  • Refunds via TopsPay are now available for Credit/Debit Card Transactions.
  • TopsPay reversals and clawbacks for failed ACH one-time and Auto-Pay transactions are now represented on the Patient Ledger, Financial Day Sheet, and Transaction Audit Trail.
  • We also have the ability to record one-time Insurance Credit Card payments via TopsPay.

*NOTE: Requires macOS 10.15.x or higher.

Insurance Claims

  • We added the ability to record the Taxonomy Numbers for ADA Claims in box 56A.  

Tops Logo Improvements

Tops has a new style and we’ve updated our Tops logo. Here’s a preview of what’s new.


Searching for Patient by DOB

Ever considered just asking the patient for their DOB, won’t that be a more efficient way to find the patient? We heard you and implemented the ability to find patients based on their DOB. Here’s how:

Enter the patient’s DOB using either “-“or “/“and Tops will return any patient that corresponds to that DOB.

Additional Options for Contract and Auto-Pay Plans    

Everyone likes options so we have added the ability to record both Contract charges and Auto-Pay payments on different schedules. The new options are:

  • Weekly
  • Bi-Weekly (every 2 weeks)

Track Cancelling and Rescheduling of Appointments  

We heard you and understood cancelled/rescheduled appointments can wreak havoc on your day. So, we implemented a new privilege that allows staff to cancel or reschedule appointments. Here’s how the new feature works…

  • The Practice Setup > Staff/Security > Staff Member Security features now includes a privilege for rescheduling or cancelling appointments.

    This gives your practice the option of determining which staff members have the option of rescheduling/cancelling appointments or both.

Do you want to find out which staff member password was used to reschedule or cancel a particular appointment? We thought of that too.

  • Open the Appointment Matrix and select the filters you wish to review.
  • Choose the “Staff” option from the drop-down menu and you can view the staff initials of the password used to reschedule or cancel the associated appointments.

You can also see the date an appointment was rescheduled or cancelled.

Gender Neutral Pronoun Improvements

We added options for you to connect with your patients on a more personal level.

  • Added they/them to our interpretation of pronoun placeholder for letters.

  • Added a new placeholder for letters that includes the patient’s recorded gender. Preference.

Lab Case Tracking Improvements

We added a “Back from Lab” option to the Lab Case tracking drop-down menu in the Appointment Information. Now you can see when your Lab Cases are in the office and ready for the patient’s upcoming appointment. Here’s how...

Lastly, we’ve added a few last-minute minor fixes because we hear you!

  • We’ve removed the ability to void the Auto Deactivate Contract Transaction from the Financial Day Sheet.
  • We solved the problem of Patient Flow Hot Corners moving about the screen.
  • We resolved that tricky problem of exporting reports from the TopsPay Portal causing an unexpected error.
  • We resolved the annoying problem when activating TopsPay ACH Auto-Pay plans can cause an unexpected error in certain circumstances.
  • We corrected the overlapping icons on the Appointment Book and Patient Flow.
  • Lastly, doing you guys a solid - we’ve provided the ability to reorder the Phone Numbers Labels in Practice Setup to allow you to choose which phone label you wish to use when adding a New Patient. Here’s how:

    Drag and drop the phone labels under the Practice Setup > Labels > Phone to reorder the list.

And about that update…

If your practice is using Tops 9.6 or higher, you will be updated automatically over the next few days to Tops version 9.7. It will be automatic; you don’t have to do a thing. If you are using Tops version 9.1.9 or lower, we'll need some info before we can update you to 9.7. You must coordinate the update with us directly. Contact me  and I’ll get you the info you need.
